JOB DESCRIPTION
SUMMARY OF ROLE DESCRIPTION
At a summary level, the role of the GC&E Manager is:
  •  To actively convert customer enquiries into confirmed sales and to develop future and repeat business from all accounts, contributing to the profitability of the Hotel and Hilton Brands Worldwide
  •  To work with others in the team to develop successful customer partnerships and to deliver Hilton Worldwide's mission of Outstanding Customer Service whist ensuring a clear and effective line of communication is maintained with Event Planners and Conference & Event Operations within the Hotel. 
SPECIFIC RESPONSIBILITIES

Sales & Customer Focus
To support all activities that drive sales at the hotel, ensuring customer satisfaction at all times
  • Convert incoming enquiries to bookings to achieve targets
  • Maximise sales and revenue for the hotel by ensuring a proactive event attitude is adopted at all times, being aware of all upsell opportunities surrounding an event
  • Handle all enquiries and customer requests promptly, in a friendly and professional manner in line with company standards and customer requirements
  • Make follow-up calls for all prospect bookings are identified from the incoming call and chase tentative business for conversion to definite  
  • Handle turndowns professionally, looking for opportunities to move business to different date or refer to another Hilton property
  • Identifying where colleagues / management can add value to process and involving them as appropriate to convert all event enquiries
  • Conduct client showrounds and attend client dinners and appointments as required
  • Maintain a high level of product knowledge about the hotel and local area
  • Develop positive business relationships and a high standard of communication with all sources of business and between the hotel and all worldwide sales offices
  • Pro-actively seek feedback from customers on a regular basis
  • Carry out competitor checks on event services and keep abreast with activities on the local market.
  • Develop and expand current existing accounts, focusing on achieving repeat business and up-selling opportunities
  • Have a personal impact, taking responsibility and using initiative to resolve issues
  • Be flexible, responding quickly and positively to changing requirements

Business Process Focus
To help drive group business forward by following the business processes prescribed by the Director of Sales and Marketing and the Revenue Manager
  • Take all Group, Conference & Events enquiries from customers, ensuring a turnaround times in line with brand standards and customer requirement
  • Evaluate each group enquiry against the potential displacement of revenue using appropriate systems, tools and demand calendars
  • Adhere to the group selling strategy laid down by the Director of Sales & Marketing and the Revenue Director
  • Adhere to all company credit policies to ensure that all revenue expected will be received (chase pre-payments when required, take required deposits, ensure all billing instructions correspond with fax confirmation, and send Credit Application forms as required)
  • Issue, send and chase Event Agreements (contracts), ensuring this is received by the hotel within the agreed timeframe
  • Carry out a constructive handover meeting with the Operations Team to ensure that the client’s expectations are met
  • Build the Group Blocks (SRP) within OnQ R&I ensuring accuracy of room type, rate and all details
  • Update the Revenue Manager on actions taken or events that influence current occupancy levels or levels of demand
  • Work closely with the Revenue Director and Director of Sales to ensure that the selling strategy for the hotel(s) is in line with demand and the marketplace through effective diary and rate management
  • Work on the business forecast for GC&E alongside the Director of Sales and take the necessary actions on need dates to increase conversion rates
  • Analyze past GC&E figures and include them on the monthly BRM
 
Administration
To implement all administrative processes owned by the Group, Conference & Events office in an accurate manner
  • Organise and prioritise work in order to ensure guaranteed response times and deadlines are met
  • Handle all administrative tasks in an efficient and timely manner
  • Keep departments and customers updated in a timely manner
  • Create accurate and customer focused written confirmations, Proposals and quotations for clients in line with departmental standards
  • Ensure accurate and up to date customer records in Delphi/OnQ and that all best practices are followed and maintained with an emphasis on activities to ensure the business is converted in a timely manner
  • Have a sound knowledge of all technical systems and procedures relating to the role
  • Send out of any Conference, Banqueting or Wedding Packs
  • Contribute to the development and fine-tuning of the systems in place within the office
  •  Maintain an effective filing system as directed including past records
  • Participate in departmental meetings, team briefings and project work and support other team members and provide assistance when necessary to ensure the team collectively achieve their goals
 
People
To take an active team role in the department on a daily basis
  • Management of 4/5 GC&E coordinators
  • Play in active role within the team
  • Be motivated, committed and enthusiastic, seizing opportunities to learn new skills or knowledge in order to improve team performance
  • Maintain good working relationships with fellow HODs and other departments
  • Attend appropriate Hilton training courses as and when required and be able to train other members of staff to the required standard for any chosen task
  • Support the GC&E team in providing relevant information as required by management or other hotel departments
  • Ensure effective communication within the GC&E Team and with the Operations Team
  • Be able and willing to assist other GC&E team members to provide cover during holidays or other periods as required
  • Management experience is mandatory, within a team of event coordinators
  • Excellent knowledge of the hotel and event industry
  • Good knowledge of the CDG area is a plus
  • Leads and motivates Team Members by leading by example
  • Manages Team Members in a consultative way, providing clear direction
  • Communicates team and individual targets, measures performance and prepares incentive schemes.
  • Holds daily sales briefings with the team
  • Keeps Team Members up to date on Hilton news, industry trends, local market and world events that may impact the hotel and department
  • Informs her/his Team Members regularly on all new and current offers by Hilton and monitor the Hotel’s sales strategy in daily business
  • Ensures a good working environment within the department
  • Conducts Communication Meetings on a regular basis and distributes meeting minutes in a timely manner
  • Ensures good cooperation and regular exchange of information with all departments, the Director of Operations / Hotel Manager
  • Enforces grooming of Team Members in line with Brand Standards and house rules
  • Co-responsible for the hiring and termination of Team Members, a consistent quality of Team Members employed in the department
  • Identifies needs and training requirements of Team Members
  • Ensures Team Members have a personal development plan in place
  • Coaches Team Members in order to support career progression.
  • Actively takes part in training the team, facilitating formal training sessions and on the job training.
  • Joint responsibility for participation by Team Members in the Welcome Day
  • Responsible for conducting all PDR’s, 1:1 meetings throughout the year, ensuring that the feedback given to Team Members is fair, unbiased and provides a platform for continued improvement, development of Team
  • Responsible for the smooth induction and facilitation of training for new Team Members, ensuring that they are trained to the minimum level standard and that they can competently complete their job and that they know what is expected of them.
  • Keeps up to date and with trends, systems and developments, always striving the highest standards and efficiency
  • Ensures Team Members are trained to perform their duties according to Hilton standards and departmental standards
 
General
  •  Be fully conversant with hotel health and safety requirements, fire procedures, and emergency procedures
  • Fulfil any other reasonable duty requested by a manager
